How to Create Settlements

Create a Settlement in Harvest Profit

Introduction: This guide explains how to create and manage grain settlements in Harvest Profit, including adding deliveries, handling contract overages, creating settlement records, and reviewing settled contracts.

  1. Review Planned Contracts When Entering Loads
    • Go to the Inventory page.
    • When creating or editing a grain load, enter the appropriate Planned Contract.
    • This allows deliveries to automatically populate when creating settlements later.
  2. Open the Contract for Settlement
    • Navigate to the Settlements tab.
    • Select the contract you want to settle.
    • Any deliveries linked to the planned contract will automatically appear in the settlement screen.
  3. Add Additional Deliveries
    • Select + Add Deliveries in the upper-right corner.
    • Choose deliveries from the list or search by scale ticket number.
    • Click Add to include the selected deliveries.
  4. Select Deliveries for the Settlement
    • Check the box next to each delivery you want included.
    • Harvest Profit allows multiple settlements to be created for the same contract if needed.
  5. Manage Contract Overages
    • If selected deliveries exceed the contracted amount, Harvest Profit automatically calculates the split needed to prevent an overage settlement.
    • Review the calculated split before creating the settlement.
  6. Edit Split Amounts (Optional)
    • Click Edit Amount if you need to adjust how quantities are split between tickets.
    • Enter the desired split amounts for the applicable deliveries.
    • Select Finish Editing when complete.
    • Split ticket quantities remain available for settlement against other contracts.
  7. Create the Settlement
    • Click + New Settlement.
    • Enter an optional Settlement ID.
    • Select the settlement date.
    • Click Create Settlement.
  8. Review Settlement Details
    • Open the newly created settlement to view details.
    • Review the settled value and total amount settled.
    • If necessary, use the edit option to update settlement details later.
    • Export settlement information as needed.
  9. Adjust Units and Edit Contracts
    • Change display units between bushels, pounds, kilograms, or other available measurements.
    • Edit the contract directly from the settlement using:
      • The three-dot menu, or
      • Edit Contract in the upper-left corner.
  10. View and Filter Settlement Records
    • Select Back to return to the settlements overview.
    • Review summary statistics including:
      • Settled deliveries
      • Contracted deliveries
      • Unsettled deliveries
      • Contracts settled
    • Filter results by crop, location, or status.
    • Use the search field to find specific contract numbers.
    • Settled contracts appear in the Settled section and can be sorted as needed.
Tip: Assign a planned contract while entering grain loads whenever possible. This automatically links deliveries to the contract and speeds up the settlement process.
Troubleshooting:
  1. If a delivery does not appear in the settlement, verify it was assigned to the correct contract.
  2. If an overage exists, review the automatically calculated split amounts before creating the settlement.
  3. If the wrong delivery was split, use Edit Amount to manually adjust the quantities.
